    Studio Portraits

    This guide provides helpful information for studio portrait scheduling & procedures.

    Studio portraits are scheduled by appointment at two set times during the week. There are no drop ins during these times, an appointment is required.

    To schedule a portrait, submit an assignment request on the Photographic Services website at: http://photo.alumni.uga.edu/request_assignment.html.

    The studio is located in room 188 of the Georgia Center. If you enter the Center from the Sanford Drive bus stop, room 188 is the first suite of offices on the left.

    Individual Portrait Scheduling

    Portraits are scheduled on Monday from 8 am to 9:30 am. and Thursday from 1 pm to 2 pm.

    Normal intervals are every 15 minutes.

    A small group of 2-3 can be scheduled for the same 15 minute period.

    Studio portrait fees are currently $15, which includes portrait sitting, approximately 20 photos taken and digital proof sheet. Prices are subject to change without notice.

    After the client reviews the proof sheet, they can order final finished digital images of the best frames. Images can be saved as Tiff or Jpeg files for $5 each. There are additional fees for files burned to CD, DVD or printed. Only Jpeg files are available via digital download.

    Special studio portraits, such as music faculty with instruments or law school faculty studio environmental portraits, should be scheduled after the regular portrait times to avoid resetting the studio.

    Group Portrait Scheduling

    If a department needs individual portraits of a large number of faculty and/or staff, a great deal of coordination is required to insure proper communications.

    A single departmental coordinator is required.

    Photographic services will issue the departmental coordinator a job name that must be referenced when scheduling.

    A single account number will be assigned for all charges associated with the job.

    All digital proof sheets will be returned to the departmental coordinator. Photographic services will not distribute proofs to individual subjects.

    Photographic services will be happy to help with image selection. Just request that the photographer indicate a best pick.

    Digital proofs or high-resolution images from a departmental portrait shoot may take up to 2 weeks for delivery.

    There are three options available when scheduling departmental portraits.

    • Individual subjects can contact photographic services directly and schedule a portrait during the regular portrait sitting times.
      • The departmental coordinator is responsible for distributing scheduling information, including job name and photographic services contact information, to the portrait subjects.
      • Each portrait sitting will include everything listed in the Individual Portrait Scheduling section above, with the same charges applying.
      • Subjects must reference the job name in the Subject Contact Information field of the online form when scheduling their portrait.
      • An assignment confirmation will be emailed to the portrait subject and the departmental coordinator.
      • It is the responsibility of the departmental coordinator to insure that all subjects are scheduled within the job deadline.
      • Photographic services will not maintain a running list or make follow up contact with subjects in order to set up a schedule.
    • A department can schedule a block of studio time outside the normal portrait hours for departmental portraits.
      • Portrait location is room 188 of the Georgia Center.
      • The departmental coordinator is responsible for scheduling the portrait subjects within the block of time.
      • A shoot schedule must be provided to photographic services by 3pm the day before the scheduled shoot.
      • Time intervals should be set in 15 minute blocks with space for up to 5 subjects per block.
      • Expect approximately 5-10 images shot per subject.
      • Studio time is billed at $75/hour for each hour scheduled, regardless of the number of subjects photographed.
      • There will be a RAW image capture fee of $.10/image for each image shot.
      • Digital proof sheets will be provided of all subjects photographed, but will not include individual proof sheets for each subject. In other words, one proof sheet will include multiple subjects.
      • After reviewing the proof sheet, final digital images of the best frames can be saved as Tiff or Jpeg files for $5 each. There are additional fees for files burned to CD, DVD or printed. Only Jpeg files are available via digital download.
    • A department can schedule a block of time for on location studio portraits.
      • Portraits will be shot in a location of the department’s choosing.
      • Location requests will only be considered for groups of 30 or more.
      • Minimum space requirements for a location studio setup are 10 feet wide by 18 feet long with an 8 foot ceiling.
      • If the studio equipment is left on location overnight, the area must be secured.
      • Daylong portrait shoots must include a one-hour lunch break.
      • The location studio setup will mimic the Georgia Center studio setup as close as possible, including lighting and background, but may not match exactly due to space constraints.
      • The departmental coordinator is responsible for scheduling the portrait subjects within the block of time.
      • A shoot schedule must be provided to photographic services by 3pm the day before the scheduled shoot.
      • Time intervals should be set in 15 minute blocks with space for up to 5 subjects per block.
      • Expect approximately 5-10 images shot per subject.
      • If a department needs to schedule different days to accommodate the schedules of its faculty and staff, it is suggested that they be consecutive days, even if not full days. For example, an afternoon shoot followed the next day by a morning shoot. This will allow for the studio to be left in place overnight.
      • There is a location studio setup fee that applies EACH time the location studio has to be setup or moved.
      • Location portrait time is billed at $75/hour for each hour scheduled, regardless of the number of subjects photographed, with a 3 hour minimum.
      • There will be a RAW image capture fee of $.10/image for each image shot.
